Ask the assistant to do it for you

How to use Cap, the assistant in the corner of every RidgeSync screen — what it can see, what it does on its own, and why it never builds you a quote.

    Open it

    Tap “Cap” in the bottom-right of any CRM screen. The panel opens on four starters — “What's overdue?”, “What's on this week?”, “Any new leads?”, “How do I build a priced estimate?” — and the box reads “Ask anything…”

    What it can see

    Your jobs, leads, contacts, invoices, tasks, measurements, proposals, notes and activity, material orders and the catalog — plus expenses and crew pay if you are an admin. A member is told Financials, Expenses, Performance, Crews and Billing are admin-only rather than being shown the numbers.

    What runs immediately

    Reversible, internal things: adding a note, adding a task with a due date, moving a job’s stage, scheduling a job, editing a contact, setting a lead status, and editing a job’s details. It tells you what it did on a small card.

    What waits for a tap

    Anything to do with money or that creates a record asks first. Recording a payment shows “Record $4,000 on invoice #118?” with the balance, raising a bill shows “Invoice $8,500?”, a new job shows “Create job for <name>?”, and a scanned receipt shows what it read. Press “Yes, do it” or leave it.

    Send it a photo, receipt or report

    Tap the paperclip and say which job. A receipt is read and its total added to that job’s Materials (or logged as an overhead expense with no job); a Roofr or EagleView PDF or CSV is parsed into the job ready to quote from; anything else — a roof photo, a signed document, a permit — is filed on the job.

    Undo

    Notes and tasks come with an “Undo” button on the card it just showed you. Press it and the badge changes to “Undone.” The other card button is “Open it,” which takes you to what it touched.

Good to know
  • It never builds a quote, an estimate or a material order. It will get the measurement in and everything else ready, but the pricing decision is yours — it points you at the job’s Quote or Materials card instead.
  • Texts and emails are not auto-sent. “Open Messages” and “Open Mail” hand the drafted message to your own phone, and nothing leaves until you send it.
  • Tap the microphone to talk instead of typing — up to 90 seconds. Attachments are capped at about 4MB.
  • Converting a lead is one it deliberately refuses: it sends you to Leads, because the “To job” button there links the lead to the new job properly.
