Track expenses & scan receipts

How to capture roofing business costs — add an overhead or monthly bill by hand, or photograph a receipt and let AI fill in the vendor, amount and date.

    Open Expenses

    Go to Expenses under Tools in the sidebar — that is the dedicated page for costs that are not tied to one job. Pick the year at the top. Admin only: a member sees “Expenses is for admins.”

    Or use the form on Financials

    Financials carries the SAME expense form under its P&L, so you can log a cost while you are looking at the numbers. Expenses is the fuller screen — it adds a search box, an Overhead table and a Monthly bills table with their own totals. Both write to the same list.

    Add an expense

    Choose a Type — “Overhead (one-time)” or “Monthly bill” — then a Name and “Amount ($),” then a Date (overhead) or a Month (monthly bill), and click “Add.”

    Or scan a receipt

    Click “Take photo” or “Upload” on a receipt or supplier invoice and AI fills the Type, Name, Amount and Date for you. Check them before you hit “Add.”

    Per-job costs are separate

    Materials and crew pay for a specific job do NOT go here — they live on that job’s “Job costs & profit” card, so they hit that job’s margin.

Good to know
  • You can also send a receipt photo to the assistant. It reads the total and asks “Yes, do it” before it saves anything.
