Pay your crews and get 1099s ready
How to track subcontractor pay in RidgeSync: add each crew, record every payment with a date and method, and see who has crossed $600 and needs a 1099.

Open Crews
Crews is under Manage in the sidebar: “Who you subcontract to, and what each one has been paid this year. Crew pay picked on a job files itself here, so the 1099 totals are ready without a spreadsheet.” Admin only — a member sees “Crews is for admins.”

Add a crew
Expand “Add a crew” and fill in “Crew / contact name *” (required), plus Business name, Phone, Email, Address, City and Notes. Click “Add crew.”

Record a payment
On the crew’s card click “Record a payment”: “Amount,” “Paid on,” “Method” (check, cash, ach, card, other) and a “Note,” then “Record.” Leave it on the crew rather than a job for work paid before you had the CRM — it still counts toward the 1099 without touching any job’s margin.

Watch the 1099 flag
Once a crew’s total for the selected year reaches $600 the amount turns amber and a “1099 needed” badge appears on the card. Use the year pills at the top right to check a previous year at tax time.

Attach their W-9
There is deliberately no tax-ID box — an EIN or SSN does not belong in a field everyone with CRM access can read. Upload the signed W-9 in File Manager instead and name the file with the crew’s name. A green “W-9” chip appears on the crew card for a file stored under the kind “W-9”; the Kind list on File Manager currently offers Material invoice, Gas receipt, Debit receipt, Photo, Contract / doc, Crew document and Other.
- If old jobs carry crew pay with nobody against it, a banner offers to fix it: “<n> jobs carry <amount> of crew pay with no crew against it.” Pick a crew and click “File it against this crew.” It only touches jobs with no payment yet, so running it twice cannot double-count.
- Where a crew has both, the card splits the total: “<X> against jobs · <Y> not tied to a job (work paid for outside the CRM) — both count toward the 1099.”
- A crew you have paid is deactivated rather than deleted when you click “Remove crew” — the payments are part of your tax record.
