Most roofing software is built for a company with fifteen trucks and an office manager. If you are the owner, the estimator, the salesman and sometimes the guy on the roof, that is a problem — not because the software is bad, but because it assumes a division of labour you do not have.

What a small crew genuinely needs
Everything on the phone. You are not going back to an office to type up a quote. If the tool is not fully usable one-handed, standing on a roof, in the sun, it will not get used and you will end up back in the notes app.
A quote you can send from the driveway. The single biggest lever a small operation has is speed. The roofer who leaves a written price behind wins jobs the roofer who says "I'll email it tonight" does not — because tonight you are tired and it goes out on Thursday.
Job costing from day one. This is the one small contractors skip and regret. If you do not know your margin per job, you cannot tell a good customer from a busy one. Plenty of platforms put costing on their top tier, which is exactly backwards: the smaller you are, the more one bad job hurts.
Somewhere the follow-ups live. Not your head. A quote that never gets chased is the cheapest lost revenue in the business.
A way to be found. A CRM organises the work you already have. It does not create any. At one to five people, the website and the Google profile are doing more for your pipeline than the pipeline board is.
What does not matter yet
Crew scheduling and dispatch boards. Built for dispatching eight trucks. You know where everyone is; they are with you.
Deep accounting integrations. A live two-way QuickBooks sync is genuinely useful at scale. At your size, a clean year-end export your accountant can read does the same job for nothing.
Per-technician licensing. Any pricing model priced per head is designed for a company that adds heads. It taxes exactly the thing you are trying to do.
Enterprise reporting. Twelve dashboards will not tell you anything you do not already know from four numbers: what is out, what got signed, what got collected, and what it cost you.
The trap: pricing that punishes growth
Three of the platforms roofers shortlist do not publish a price at all, and one of the ones that does prices per technician. That is worth thinking about before you commit.
If your software costs more every time you hire, then every good year comes with a bill attached. And if you cannot see the price without booking a call, you cannot plan around it either.
The other quiet cost at small scale is per-report fees. If you are charged per measurement report, then quoting more — the exact behaviour that grows a small roofing company — costs you money on top of your subscription.
Flat pricing is not just simpler. At one to five people it is the difference between a cost you can forecast and one that moves under you.
